 Voice Broadcast
 Introduction

Voice Broadcast enables you to simultaneously send hundreds, thousands, hundreds of thousands or even millions of consistent telephone messages to any database of telephone numbers that you desire. The system requires no customer premise equipment or software to learn. Message recording is as easy as talking into the phone. Voice recordings in WAV files are also supported.

We specialize in voice broadcasting for security dealers, associations, and consumer companies. The primary applications being implemented are specific company analyses and recommendations, employee notifications, seminar invitations, new product/service introductions, acquisition calls, and welcome calls to new customers.

 How it Works

Delivery of messages can be programmed for answering machine only, live-answer only or a combination of both with the same or alternative messages. Real-time reporting of call results via the Internet, e-mail or fax provides you with summarized or detailed information. Queuing of broadcasts can be set up to 30 days in advance by time, delivery attempts or completions. Voice Broadcast delivers recorded messages to a predetermined phone list that you provide. Your message(s) will be delivered to answering machines and voicemail, disconnecting on live answers and retrying in one hour if additional attempts are programmed for the broadcast. If needed, however, your system can be setup to send messages to live answers only or a combination of answering machines and live answers with separate or same messaging.

Our system will retry a number three times if the initial call is not completed. This parameter can be reset, as determined by the client. Our completion rate is approximately 80%, depending upon your list quality. The nondeliverable messages fall into four categories:
1. Voicemail is full
2. PBX is turned off at night
3. Wrong or disconnected number
4. No voicemail system.

Our system allows us to use a live operator to introduce your tape recording. We can also have a live operator come back on the line after a tape recording for closing purposes.

Our voice broadcast equipment also includes an Encore System, which allows digitally tape recorded announcements or presentations by professionals or celebrities to be introduced into your marketing programs. This system also enables us to do high capacity voice broadcasting to live recipients or their voice mails. The same system can be used for inbound calling as well.

 How To Send a Voice Broadcast
  • Set Up Your Voice Broadcast List
    All you need to do is create your broadcast list of telephone numbers recipients in either Excel or ASCII, comma delimited format. The list can contain just the phone numbers, or for easier manageability you can include company and contact information. Once created, upload the list by sending it as an attachment to an e-mail. We can take hard copy, but there is a $1. per name data conversion charge.
  • Record Your Broadcast Message(s)
    Pick up the phone, dial an 800 number for access to the Voice Broadcast system, and enter your mailbox number and secret password. Choose the appropriate option from an easy to use interactive menu, and record your 20 second to 6 minute message. If you prefer, you can send your message as an email attachment in either WAV or VOX 64K PCM format or a DAT tape or studio quality cassette tape.
  • Queue Your Broadcast
    Again, this can be done by telephone, logging in as above. You choose the group (list) you wish to send the message to, record a message on the spot or choose a prerecorded one, and set your desired parameters such as start and end time. The broadcast can be queued immediately, or set to go when you desire. Once queued, our system does the rest!
  • Receive Call Detail Reports
    At the conclusion of the broadcast, we will E-mail you a complete report that itemizes by recipient what the result of the call was. We can establish individual accounts with a master roll up of all sources reportable to a central location. We can store multiple messages per client.
 Confidentiality of Information

We maintain several security systems that insure the integrity of the client’s data. We guarantee that all of your information, records, and recordings are secure and will not be shared, duplicated, or compromised in any way. We will work with your staff and develop a passcode/pincode system that will insure user integrity.
